Booking

Three steps, start to finish

  1. Send the request. Use the request form, call (832) 790-4058, or email [email protected].
  2. We confirm availability. A request isn't booked until we confirm the interpreter and the details with you.
  3. Tell us when things change. Dates move. Let us know as soon as yours does and we'll do our best to keep the same interpreter.

Request checklist

What to include in every request

Having these details up front means fewer follow-up emails and a better-prepared interpreter.

  • Firm name and your direct phone number
  • Case name and number
  • Date(s), start time, and expected length
  • Address and courtroom, or the video link and platform
  • The party's language, and dialect or country of origin if known
  • Type of proceeding (deposition, hearing, mediation, client meeting)
  • On-site contact name and phone number
  • Any terms, names, or documents that will help us prepare

Remote assignments

Remote depositions and hearings

  • Send the platform and meeting link with your request, or as soon as you have it.
  • Share a dial-in number as a backup in case video drops.
  • Ask the host to admit the interpreter early so audio can be checked before the record opens.
  • Make sure the interpreter can clearly see and hear the witness; ask the host to pin or spotlight them if needed.
  • If exhibits will be shared on screen, send copies ahead of time when possible.

Interpreter prep

Optional ways to help the interpreter prepare

None of these are required. When they're available, they help the interpreter prepare and keep the day running smoothly.

  • Names and spellings of parties, witnesses, and places.
  • Case background in a sentence or two: the type of matter and what the proceeding covers.
  • Technical terms: medical, financial, or industry vocabulary likely to come up.
  • Documents and exhibits that will be read or referenced, sent securely in advance.
  • The witness's background: country or region of origin helps with dialect and terminology.

Working with an interpreter on the record

  • Speak directly to the witness in the first person: "Where were you on May 3?" rather than "Ask her where she was."
  • One speaker at a time; overlapping speech can't be interpreted accurately.
  • Be mindful of long questions, and pause to let the interpretation finish.
  • The interpreter may ask for a repetition or clarification on the record; that protects accuracy.
  • Plan breaks during long sessions. For full-day proceedings or trials, ask us whether a second interpreter is recommended.

FAQ

Questions legal assistants ask

How far in advance should we book an interpreter?

As soon as the date is set. Earlier requests give us the best chance of confirming your preferred interpreter. For short-notice needs, call (832) 790-4058.

Can I request several dates in one request?

Yes. In the request form, add each date under Specific dates, or switch to Date range for a multi-day matter.

Do you interpret at our office, in court, or remotely?

All three. Interpreters work in person across the Greater Houston area and remotely by Zoom, Teams, or phone nationwide.

Can we keep the same interpreter for a continued deposition or trial?

Yes, whenever possible. Mention the original date or case in your request and we'll do our best to keep the same interpreter.

How do I get a W-9 or have vendor forms completed?

Email [email protected] with your firm name and what you need, and it goes straight to Indy.

What languages are available?

All languages are available through our network of qualified interpreters. In the request form, choose Spanish or Other language.
